1. Enrollment & Payment Policy 入學須知 & 學費安排
At QB, our academic year is divided into FOUR TERMS:

Autumn: September 1 - December 30 (4 months)
-
Winter: January 1 - March 31 (3 months)
-
Spring: April 1 - June 30 (3 months)
-
Summer: July 1 - August 31 (2 months)
Enrollment & Payment Details:

Parents must install the SchoolTracs Parents app and register with their phone number before the first course.

A $100 one-time enrollment fee is collected for all new students. This fee is non-refundable. If you have already paid the $100 assessment fee, this enrollment fee will be waived as an offset.

A $1,000 deposit will be charged and held for the duration of your child's enrollment in QB. To break enrollment and claim a full refund of the deposit, parents must complete our official Dropout Google Form at least ONE MONTH PRIOR to the last day of the student's final lesson. Failure to provide sufficient notice will result in the forfeiture of the deposit.

Different payment packages can be chosen, including monthly, one season, two seasons or three seasons. Tuition fees are due prior to the first class listed in the invoice.

Classes are only confirmed after tuition fees are paid in full.

An administration fee of $150 will be applied for any bounced cheques.

Payment methods: Cash, PayMe, Bank Transfer, FPS, or Cheque made payable to “Quantumbilities Education Limited.”

Reminders of tuition fee and receipts will be sent out via the SchoolTracs for Parents app.

Tuition fees are non-transferable to any third party (including family members and siblings), and non-refundable unless under special circumstances. QB reserves the right to make the final decision.
2. Make-up Class Policy 補堂安排
General Policy:
-
All make-up classes can be arranged through the SchoolTracs Parents app.
-
All classes and make-up classes are non-refundable.
-
No make-up classes will be arranged for no-show scenarios without prior notice.
-
Students are allowed a maximum of 1 absence per term for package enrollments (applicable to both personal leave and sick leave without a valid medical certificate).
-
All approved make-up classes must be used within 3 months of the absent date AND strictly within the period of the student's active enrollment (i.e., the student must have an ongoing, paid tuition package). Once a student leaves the center or pauses enrollment, all outstanding make-up classes will instantly become invalid and cannot be exchanged for cash.

Any make-up classes that are canceled or no-show will be considered forfeit and no further arrangements will be made.

As make-up classes are an additional feature to our regular programme, there are no guarantees that we can arrange specific teachers or specific progress for make-up classes. We will try our best to accommodate your child as best we can.

For online classes, make-ups may be substituted as physical make-ups
Sick Leave:
-
For all classes scheduled before 12 PM (AM classes), please provide notice at least 2 hours before the commencement of class. For classes after 12 PM (PM classes), kindly give at least 3 hours' advance notice.

Failure to meet the above advance notice requirements will be treated as a no-show, and no make-up classes will be arranged.

Please provide a valid doctor's note for sick leave within 3 days in order to apply for make-up classes.

Notify us via WhatsApp (55466652) for the application of sick leave.
Personal Leave:
-
Students can apply for one personal leave per term (e.g., exam preparation, travel, festival dinner, ECA, school team practices, etc.).

Please notify us at least 1 working day before the class. No refund or make-up classes will be provided for late notifications or no-shows.

If more leaves are required due to special circumstances, please let us know through WhatsApp (55466652) and we will review the reasons on a case-by-case basis.
3. Illness and Dismissal Policy 疾病管理與課堂守則
Illness & Public Health:
-
Do not bring students to class if they exhibit signs of illness (e.g., fever, cough, runny nose, etc.). QB reserves the right to dismiss or refuse admittance of a sick child.

Students with infectious diseases (e.g., COVID, Hand-foot-and-mouth disease, Swine flu) should not attend classes until full recovery. Make-ups can be arranged in such cases.

Classes may be held online instead if required by the EDB or deemed necessary by QB due to health or safety-related issues.
Behavior Expectations:
-
Students are expected to be respectful and courteous to each other and staff. Inappropriate behaviour will be addressed directly.
4. Public Holidays and Severe Weather Warnings 公共假期和惡劣天氣警告
Public Holidays & Regular Closures:
-
QB is closed on all Hong Kong SAR public holidays and Sundays.
Severe Weather Protocol:
-
Online Classes: Online classes will run as usual under severe weather warnings and will NOT be refunded or rescheduled.
Contingency for Severe Weather Conditions:
-
Yellow Rainstorm 🟨 / Red Rainstorm 🟥 / T1 / T3:
Classes will run as usual. Parents can decide whether to attend based on local weather conditions. Make-ups can be arranged if parents choose to stay home.

Black Rainstorm Warning ⬛ / Typhoon 🌀 Signal No. 8 or above / "Extreme Conditions":
All physical classes will be cancelled. In accordance with regular center policy, classes cancelled due to government-enforced severe weather warnings are non-refundable and non-reschedulable.
However, in the spirit of goodwill, at the sole discretion of QB and subject strictly to teacher/venue availability, the center may look into potential make-up arrangements on a case-by-case basis. Please note that this is strictly an extra goodwill service and is NOT guaranteed.
Resumption Procedures:

If the severe weather signal is lowered or "Extreme Conditions" are withdrawn before the cut-off time of 12pm, physical classes will resume 2 hours after the announcement, provided there is at least 1 hour of remaining class time.

If the signal remains hoisted or "Extreme Conditions" persist past the cut-off time of 12pm, all physical classes for the day, including make-ups, will be canceled.
5. Photos and Other Media照片及其他媒體使用

Occasional photos and videos are taken during classes. Some of these photos/videos may be used on our website or Facebook page for promotional purposes.

Usage of photos/videos will be based on the preference indicated in the student's Registration Form. Any subsequent changes or specific requests must be notified via WhatsApp (55466652).
6. Integrity and Intellectual Property誠信與知識產權

Private tutorial arrangements with QB teachers (paid or unpaid) outside of QB classes or events are prohibited without written consent from QB. Any parent or guardian found in violation of this clause will have their child’s enrollment terminated immediately without refund.

All QB materials are strictly limited to current students only. Reproduction of materials in any form is prohibited.

QB reserves all rights and interests in any intellectual property related to lessons, curriculum, and materials provided.
By signing up your child for this program, you acknowledge that you will be asked to complete a registration form, a key component of which includes the Photo & Media Consent question.
